Track Vendor & Travel Payments with VISTA

VISTA is a service provided to you by the West Virginia State Auditor's Office.

What is VISTA?

VISTA is an electronic system that allows you to track payments made by the State of West Virginia via the web. You can locate and view detailed information quickly and efficiently. No longer will you have to spend countless hours on the phone trying to track down a payment.

What is VISTA Public Access?

VISTA public access allows the public to view ALL vendor payments made by the State of West Virginia over the past three years without a login. You can search by vendor or payment. In order to search by vendor, click on the Global Vendor Search button. You will have three search options: FEIN/SSN, FIMS Vendor Number, or Vendor Name. In order to search by payment, click on Global Payment Search button. You will have five search options: Warrant Number, Payment Date, Payee, Amount, or Payment Type. Further details for each payment can be obtained by clicking on the links. These links will be underlined and highlighted in blue.

Why do I need a Sign In?

A VISTA Sign In creates personalized views displaying only information related to you or your company. This significantly decreases your search time by only performing inquiries based on parameters set specifically for you, greatly increasing response time. If you’re a vendor protected by HIPPA and deemed private, you can securely view your information which is not available through the public access link.

How do I get a VISTA Sign In?

In order to get a VISTA Sign In you must sign up for direct deposit of your payments. Simply fill out the Direct Deposit Form that applies to you and mail it along with a voided check to the address provided on the bottom of the form. You can download the Direct Deposit form(s) on our website and select to save the file to hard disk; or open, fill it out and print. To view the pdf you will need the latest version of Adobe Acrobat Reader which is a free download from Adobe’s web site www.adobe.com. It can take up to thirty days to process your request. Once your request has been processed we will notify you via email when your payments are being sent to your account. A paper stub will no longer be provided. In order to view your remittance information you will need to login to VISTA. A link will be provided within the email. https://www.wvsao.gov/vista/login.asp.

Which Direct Deposit form applies to me?

State employees that want to sign up for or change their direct deposit of payroll and travel reimbursements will have to download the Direct Deposit Authorization for Payroll and Travel.

Vendors who would like to receive their payments electronically from the State of West Virginia will have to download the eVendor Agreement for Companies.

DHHR Birth to Three participants who would like to receive their payments electronically will have to download the eVendor Agreement for Birth to Three. Birth to Three participants will not receive an email notification.

State Agencies that have a vendor receiving a single nonrecurring payment electronically which is paid by an Off System document will have to download the eVendor Agreement for Off System Payments.

When I click on a PDF form I get a blank page and/or an error message. What can I do?

Certain builds of Netscape, Internet Explorer and AOL do not properly display embedded PDF files, even if Acrobat Reader is installed. Instead they display a blank screen, an error message or a blank screen with a small document image in the upper left corner.

Examples of possible error messages:

"File does not begin with '%PDF-'"  or  "Error reading xref entry."

To get around this Adobe recommends configuring Acrobat as a helper not a plug-in.
Here's how you do it:

Enabling the Browser to Use Acrobat as a Helper Application To configure Acrobat or Acrobat Reader as a helper application:

1. Exit from Netscape, Internet Explorer and/or AOL.

2. Start Acrobat or Acrobat Reader.

3. Choose Edit > Preferences > Internet (Acrobat 6.x or Acrobat Reader 6.x) or Choose Edit > Preferences > General (Acrobat 5.x or Acrobat Reader 5.x) or choose File > Preferences > General (Acrobat 4.x or Acrobat Reader 4.x).

4. In the Options section, deselect Display PDF in Browser (Acrobat 6/5.x or Acrobat Reader 6/5.x) or deselect Web Browser Integration (Acrobat 4.x or Acrobat Reader 4.x).

5. Click OK, and then exit from Acrobat or Acrobat Reader.

6. Restart Netscape, Internet Explorer or AOL.
